The team of experts at Helpside offers advice and tips for companies preparing for open enrollment.

Helpsidehas more than 30 years of experience helping small businesses prepare for the busy Open Enrollment season.. Not only is early planning essential to support employees, but inflation is changing the game for people, with many companies and employees placing a focus on benefits affordability for 2023. ere are a few simple steps that will make sure your employee benefits open enrollment runs smoothly..

Since benefits can be difficult to understand, it’s important to start talking about benefits and Open Enrollment early so you have time to address all employee questions and concerns. Start planning eight to twelve weeks before Open Enrollment is set to begin. Review employee questions and concerns from last year. Then conduct an employee survey or simply ask employees what they are looking for in their benefits. Make sure to include any remote and hybrid workers and employees who work different shift.

Four weeks before Open Enrollment, share educational materials with employees and any instructions that may be needed to complete Open Enrollment. Many benefits programs now use online enrollment programs., Create a manager’s toolkit so they can field employee questions, and add an Open Enrollment reminder to all manager’s email signatures. One to two weeks before Open Enrollment, host a virtual educational event, send any other information to employees, and craft concise answers to anticipated questions.

Employers can assist their employees with their inflation concerns by providing clear information about their benefits through multiple communication channels, using clear and empathetic language, and highlighting the services that come with coverage. Companies have an opportunity to support their employees during this time by starting their preparation early, creating clear lines of communication around essential topics, and reaching all employees with relevant information.

To prevent confusion or errors, make sure you’re communicating frequently with your employees. Remind your employees about Open Enrollment deadlines and any benefits package changes. Not all employees retain information the same, so when possible, develop communication in many forms so that you can reach the maximum number of employees possible. This means creating videos and PDF tutorials, having online enrollment options and back-up paper forms, and providing mailed and emailed reminders. Remember, many employees are making benefits elections for their entire families and may need to discuss options with a spouse. Making tutorials and other materials available online allows them to share the information with other key decision makers.Send out a company-wide reminder the day before the enrollment deadline.

Open enrollment doesn’t have to be difficult. Some advanced planning can make it a positive experience for everyone. And if you want to take Open Enrolment off your plate, you can look for an outside vendor, like a Professional Employer Organization (PEO) that will handle all employee benefits communications, including Open Enrollment, for your company.
